The Helmholtz Institute for Functional Marine Biodiversity (HIFMB) is a research institute located in Oldenburg. It researches marine biodiversity and its importance for the function of marine ecosystems. In doing so, it develops the scientific basis for marine nature conservation and ecosystem management. The HIFMB was founded in 2017 and is an institutional cooperation between the Alfred Wegener Institute in Bremerhaven, Helmholtz Centre for Polar and Marine Research (AWI), and the Carl von Ossietzky University in Oldenburg.

Science Coordinator and Administrative Support - Marine
Governance (m/f/d)

Background
We are offering one position in the Marine Governance Group at the HIFMB centred on scientific coordination and administration. The Group, led by Professor Kimberley Peters, represents the major social science and humanities cluster of staff in the institute working on projects as wide ranging as marine protected area management, to coastal stakeholder engagement, shipping infrastructure, art-science collaborations, and how human experience relates to ocean health. The Group’s work is characterised by innovative theoretical work, rigorous and careful empirical fieldwork, and policy-oriented approaches. The Group is also engaged with several third-party funded projects. The current team consists of a highly diverse and growing group of exciting international staff including research scientists, postdoctoral researchers, doctoral students as well as Masters and Bachelor degree candidates undertaking thesis projects, as well as those completing internships.
In this context, we are seeking a proactive, organised and driven individual to take on the role of Research Coordinator, alongside acting as the Group’s administrative liaison and lead.
Tasks
  • Participation in the preparation of scientific proposals, reports and publications in German and English language, including
    • synthesising grant opportunities
    • preparing figures or associated supporting documentation
    • compiling and formatting reference lists etc.
  • Participation in aspects of research related to core Working Group projects, including
    • reviewing literature
    • transcribing and coding data
    • analysing qualitative and quantitative results.
  • Preparing and editing text documents and presentations as well as compiling and managing data sources for projects.
  • Planning and organisation of seminars, scientific meetings and public outreach measures as well as liaising with guest and external research visits.
  • Maintaining budget databases.
  • Supporting the Group Leader in the management and coordination of science-related activities and in all organisational and administrative matters, including but not limited to:
    • diary management
    • setting meetings
    • completion of forms related to travel and fieldwork
    • recruitment and hiring
    • student admission and associated paperwork
    • managing publication portals and platforms
  • Supporting group members in tasks as such as ordering, service procurements and travel reimbursement
  • Maintaining the Group web profile, including liaising on new blog posts and profile updates.
  • Serving as the first point of contact for the members of the Group and external persons contacting and working with the team.
Requirements
  • A PhD in a relevant area (for example: marine (social) sciences, or aligned academic fields relevant to the group (in Human Geography, Planning, Sociology, Political Ecology, International Relations)
  • Experience in research, research coordination tasks and excellent administrative leadership;
  • Proactive, versatile and friendly approach to work;
  • Fluent English and German language skills (written and spoken);
  • Experience in (social) science and project management;
  • Ability to synthesise and summarise information clearly (i.e. upcoming grant calls);
  • Ability to follow institute policies and regulations and contribute to necessary reporting;
  • Budget management skills;
  • Standard PC programmes (MS Office, including Word Excel and PowerPoint; image editing software; Adobe Acrobat)
  • Experience in event management and public outreach organisation.

This is a full-time position, limited to 2 years with the possibility to become a permanent position. It is also suitable for part-time employment. The salary will be paid in accordance with the Collective Agreement for the Public Service of the Federation (Tarifvertrag des öffentlichen Dienstes, TVöD Bund), up to salary level 13. The place of employment will be Oldenburg.
